Managing your Inventory

This site uses “inventory buckets” that multiple products can draw from, for example:

  • you can have a “pounds of carrots” inventory that is drawn from by both 5 pound and 10 pound bags of those carrots,
  • a “loaves of bread” inventory that applies to various loaves regardless of what type of bread.
  • Service providers could choose to have an “hours”  inventory based on how much time they can dedicate to new business appointments.
  • the possibilities are really up to you. You can set the type of “unit” to be anything you want and you control which products pull whatever amount of that unit when they’re place in someones basket.

Each product can be set to use or not use inventory, only one inventory bucket can be used per product.

In some cases, you may save a small amount of time by creating the inventory buckets before adding the products.

NOTE: If you set products to use an inventory, you must enter an amount in the “Manage Your Inventory” screen before they will show up in the Marketplace. Otherwise the site will assume your out of stock. (see section 2.2)

1. Creating the bucket

There are two methods to create an inventory bucket:

1.1 From the add/edit product screen. Note: This method will often require you to edit the inventory name later in the “Manage your inventory” screen. This method may be preferable if the product your creating is the same quantity as the base unit you want to use in your inventory (i.e. 1 pie in an inventory of pies, or one pound in an inventory of pounds, 1 dozen [x] in and inventory of dozens of [x]’s, etc.)ivnen1

  1. On the “Inventory Name ” drop down menu in the add/edit product screen select “CREATE A NEW INVENTORY UNIT”. if you have already created inventory buckets, they will also appear in this menu.
  2. Set the “inventory rate” to whatever amount this product will use of your intended Inventory base-unit (lbs, pies, kg, bunches, etc). when it is placed in someones basket.

Unless the name of the product is identical to the base-unit you wish to use for your inventory, finish creating or editing your product and save it, then go to section 2.3 “Editing Descriptions” of this help page.

1.2 Creating buckets in the “Manage your Inventory” screen. This method will allow you to create the inventory description properly the first time, After which you can just select the proper bucket in the add/edit products screen. This option may be preferable if you have a variety of products pulling from the same inventory (i.e. “lbs of carrots” or more complex units like “baking hours”)

First make your way to the “Producer Panel” by logging in and clicking “MarketPlace –> Producer Panel” in the Main Menu.

In the far bottom-right corner of the Producer Panel click “Manage Your Inventory” (as shown below)

you should now see the “Manage Inventory” screen:

To create a new bucket(as shown above):

  • Scroll to the bottom of the screen
  • Enter your inventory description under “add new inventory buckets”.
    • Make sure to include a specific description of what this inventory bucket is for, and what base-unit you are measuring it by (lbs/pounds, pies, 1/2 dozens, hours, etc). (i.e. lbs of snow peas)
    • The base unit should always reflect the smallest unit you measure that product by.
  • Under “QTY in stock” enter the amount of the product you expect to have available for our next “Delivery Days” (Current Delivery days are visible on the homepage and the “Shopping Panel”, future cycles can be viewed from the “Producer Basket”[via the producer panel])
  • Click the “update/add/delete” button to save your new Inventory buckets.

 2.2 Changing inventory amounts:

  1. Change the amount in the “QTY IN STOCK” field. This should always reflect the amount you can reliably have available for our next “Delivery Day(s)”.
    • Current Delivery days are visible on the homepage and the “Shopping Panel”, future cycles can be viewed from the “Producer Basket”(via the producer panel)
  2. Click the “Update/Delete/Add” button to save your changes.

2.3 Editing Bucket Names/Descriptions:

  1.  In the “Manage Inventory” screen (see 2.1), click the “[Edit descriptions]” button.editdescripd
  2. Now you can click on the existing bucket names and edit them. Enter the new name in this field.
    • Make sure to include a specific description of what this inventory bucket is for, and what base-unit you are measuring it by (lbs/pounds, pies, 1/2 dozens, hours, etc). (i.e. lbs of snow peas)
    • The base unit should always reflect the smallest unit you measure that product by.

3. Click the “Update/Delete/Add” button to save your changes.

2.4 Attaching a product to an existing Inventory bucket

ivnen2In the Inventory section of the add/edit product screen:

  1. Enter the amount of units this product will remove from the inventory when it is placed in someones basket.
  2. Select the appropriate inventory basket
  3. Save the product at the very bottom of the page
